Privacy Policy
Last updated: 26-07-2026
This privacy policy explains what personal data Greengolfcarts collects when you visit our website, get in touch with us, subscribe to the newsletter, have an account with us or buy or hire a cart from us. It also tells you why we do that, how long we keep the data and what rights you have. We comply with the General Data Protection Regulation (GDPR).
Would you like to know straight away what we hold about you, or would you like us to get rid of it? Send an email to info@greengolfcarts.nl. You do not have to give a reason and we will reply within one month.

What data we collect
Data you give us
There are a few places where you can leave data with us: in the contact form, in the sign-up field for the newsletter, or by emailing or calling us. We then receive whatever you give us:
- First name and surname
- Email address
- Phone number
- The content of your message
- For a purchase or hire, also your address and the details of the cart
For the newsletter we need nothing more than your email address; we do not ask for a name or a phone number there. In the contact form, your name, your email address and your message are required: without those we cannot reply to you. You may leave your phone number blank.
Your account data
If you have an account with us, we keep the data that goes with it for as long as that account exists:
- Your name and the username you log in with
- Your password, encrypted
- When the account was created and when you last logged in
- If you choose “stay logged in”, a key in your browser and a description of the device you logged in with
- The IP address and the username for every login attempt, successful or not
We never store your password in readable form: it is put through irreversible encryption, so that not even we can see it. We record login attempts so that we notice when someone is trying to break into an account; we clear them out again after a day.
Data that comes in automatically
As with almost every website, our server automatically records a few technical details as soon as you request a page. We need those to make the site work and to keep it running:
- IP address
- Browser type and version
- Operating system and type of device
- The pages you request
- Date and time of your visit
- The website you came to us from
This comes from the server logs, which are there in any case. If you give consent for statistics, we also use Google Analytics to measure how the site is used: which pages visitors look at and how long they stay. Below you can read what we do with that.
What we use your data for
We use your data only for the purposes below. Each purpose states the legal basis: the reason why the GDPR allows us to use that data.
- To answer your question. If you get in touch through the form, by email or by phone, we use your name, email address, phone number and message to give you an answer. Legal basis: our legitimate interests in being able to respond to anyone who contacts us. If it concerns a quotation, the basis is the steps taken prior to entering into a contract.
- To keep you up to date and to build our customer base. If you subscribe to the newsletter, we keep your email address so that we can tell you which carts are coming in and what else is happening at Greengolfcarts. Legal basis: your consent. You give it by entering your email address, ticking the box for the newsletter and clicking the button; that box is not pre-ticked. You can withdraw it at any time, with the unsubscribe link at the bottom of every newsletter or with an email to info@greengolfcarts.nl.
- To make your account work. We use your account data to let you log in, to keep you logged in if you choose that, and to show you the pages that account gives you access to. Legal basis: the performance of the agreement we make with you when you get an account from us.
- To keep the website secure. We record login attempts and technical data in order to counter misuse, intrusion attempts and malfunctions. Legal basis: our legitimate interests in a website that stays safe and reachable.
- To improve the site. Statistics show us which pages visitors seek out and where they drop off. That helps us make the site clearer and match what we offer more closely to what customers need. Legal basis: your consent for the placing and reading of analytical cookies.
- To handle your purchase or hire. If you buy or hire a cart from us, we use your name, address, email address and phone number to set down what has been agreed, to deliver or collect the cart, to draw up the invoice and to help you with warranty, maintenance and repairs. Legal basis: the performance of the contract we enter into with you, and the steps that come before it.
- To send existing customers something about similar products and services. If you have bought or hired a cart from us, we may use your email address to point you to similar carts, parts or maintenance: to our own range, that is, and to nothing else. Legal basis: our legitimate interests in informing our own customers, as the Dutch Telecommunications Act permits. When we obtain your email address, we tell you straight away that you can refuse this, and there is an unsubscribe link at the bottom of every email.
- To show customers’ experiences. With the customer’s consent we put their review, with their name, on our website. If you want your review taken down or only your first name left in place, email info@greengolfcarts.nl. Legal basis: your consent, which you can withdraw at any time.
- To comply with the law. If you buy something from us, we have to keep the invoice details for the Dutch tax authorities. Legal basis: a legal obligation.
What you fill in to ask a question will not land you on our newsletter list: you subscribe to that separately. Nor do we use your data for any purpose other than the ones set out above. Should we ever want to, we will tell you beforehand and, where necessary, ask for your consent again first.
Do you have to give us your data?
You do not have to fill in anything on our website. It is up to you whether you use the contact form, subscribe to the newsletter or give us a call. If you do not, you can simply carry on using the site; we just will not be able to reach you. If you do fill in the contact form, we need your name, your email address and your message, otherwise we cannot reply to you; you may leave your phone number blank. If you buy or hire a cart, we also need your address details in order to enter into the contract and draw up the invoice: that is what tax law requires of us. If you do not give them, we cannot complete the sale or the hire.
Cookies
A cookie is a small file that a website leaves behind in your browser. We use as few of them as possible. Below you can read which ones those are, and what else goes out from your browser.
Necessary cookies
These are needed to make the site work and are always there. They do not keep track of what you do elsewhere on the internet, and no consent is required for them:
- ggc_sessie: ties your visit together and protects the forms in the admin panel. Every visitor gets it; it disappears as soon as you close your browser.
- ggc_onthoud: only if you tick “stay logged in” when logging in. Your browser sends it to the admin section only. It is valid for thirty days, counted from your last visit, and disappears as soon as you log out.
- ggc_cookies: remembers what you chose in the cookie notice, so we do not have to ask again every visit. It lasts six months; after that we put the question to you once more.
- Your browser also remembers that you dismissed the newsletter window. That is not a cookie but browser storage, and it is cleared as soon as you close the tab.
Analytical cookies
For our statistics we use Google Analytics 4 from Google Ireland Limited. We only load that script once you have switched it on in the cookie notice; if you decline, Google Analytics never reaches the page and the site works as usual. If you do switch it on, Google sets two cookies, _ga and _ga_ followed by a string of characters. They last two years and tie your visits together under a number, not under your name.
The map from Google Maps
At the bottom of the homepage there is a map from Google Maps showing where we are. That map comes from Google, not from us, and Google would get to see your IP address in the process. So we do not simply load it: you first see our address with a button beside it, and only when you click that button or switch the map on in the cookie notice is it fetched. If you do not click, nothing goes to Google. Our address is also in the footer of every page, so you never need the map.
You can change your choice at any time: at the bottom of every page there is Cookie preferences, which switches statistics or the map back off or on in a single click, just as easily as you switched them on. After six months we put the question to you again of our own accord. You can also view, refuse or delete cookies in your browser settings; if you delete ours, you will have to log in again and the question comes straight back. If you cannot work it out, email info@greengolfcarts.nl.
How long we keep your data
We do not keep your data any longer than is necessary for the purpose for which we received it:
- Messages via the contact form, email or phone: two years after our last contact, so that we can look up an earlier conversation if you get in touch again.
- Your email address for the newsletter: until you unsubscribe. After that we take it off the list within a month.
- Your account data: for as long as your account exists. If it is closed, we delete the account and everything attached to it within thirty days.
- Login attempts: one day. The clean-up is triggered by the next login attempt, so during a quiet spell an entry may stay a little longer. The key for “stay logged in”: thirty days, or until you log out.
- Your sale or hire contract, the invoices and the records around them: seven years, counted from the end of the year in which the contract was completed. Tax law prescribes that period for us; we cannot depart from it.
- Server logs: for as long as our hosting provider keeps them, as a rule a few months. Statistics in Google Analytics: fourteen months.
- A review you gave us and that we show on the site: until you ask us to take it down.
Who we share your data with
We do not sell your data and we do not pass it on for other people’s advertising. We do call on a few parties who help us keep the site running. They may use your data only for the work we instruct them to do, and with each of them we have set that down in a processor agreement:
- mijn.host, which keeps the website and the database on its servers in the Netherlands
- The party that looks after our email and our newsletter, which sends out the messages you get from us
- Google Ireland Limited, for the Google Analytics statistics and for the Google Maps map, and only for whichever of the two you switched on yourself
If the law obliges us to hand data over to a government body, for instance the Dutch tax authorities or the police with a valid request, then we do so. They do not work for us; they decide for themselves what they do with that data.
Transfers outside the European Union
Our own servers are in the European Union. Google Analytics and Google Maps may transfer data to the United States. The European Commission has decided that protection there is equivalent as long as the recipient is certified under the EU-US Data Privacy Framework, which Google is. Should that certification lapse, the European Commission’s standard contractual clauses apply; you can request a copy of those via info@greengolfcarts.nl. Google Analytics 4 does not store your IP address: it is used only briefly to work out which country or region you are in. If you switch on neither statistics nor the map, nothing goes to the United States.
Your rights
The GDPR gives you a number of rights over your own data. You can ask us for the following:
- Access. You may ask what data we hold about you and receive a copy of it.
- Rectification. If something is wrong or incomplete, we will correct or complete it.
- Erasure. You may ask us to erase everything we hold about you. We will do so, unless the law obliges us to keep something, an invoice for instance.
- Restriction. You can ask us not to use your data for a while, for example while we are checking whether something is correct.
- Data portability. You can receive the data you yourself gave us in a commonly used file format, to take elsewhere.
- Objection. You can object to the use of your data on the basis of our legitimate interests.
- Withdrawing consent. If we used your data only because you gave consent for it, you may withdraw that consent. What happened up to that moment stays valid; after that we stop.
Note your right to object. If we use your data on the basis of our legitimate interests, you may object to that on grounds relating to your particular situation; we will then stop, unless there are more compelling grounds to carry on. Where it concerns advertising, we always stop straight away, without you having to explain why. One email to info@greengolfcarts.nl is enough.
How to make a request
Send an email to info@greengolfcarts.nl and say what you want: access, rectification, erasure or one of the other rights above. There is no form and you do not have to give a reason. Preferably email us from the address you used with us, so that we can find you straight away.
We reply within one month and it costs you nothing. If your request is complicated, we may extend that period by two months; we will let you know within that first month if we do. If we doubt whether the request really comes from you, we will ask for extra confirmation, precisely to prevent someone else requesting your data or having it erased. If we refuse your request, you will hear why within that first month, and you can lodge a complaint about it or go to court.
Lodging a complaint
If you are not happy about the way we handle your data, do let us know at info@greengolfcarts.nl; usually that sorts it out. You also always have the right to lodge a complaint with the Dutch supervisory authority, the Autoriteit Persoonsgegevens (Dutch Data Protection Authority). If you live in another European Union country, you can go to the supervisory authority there as well.
Security
We take appropriate technical and organisational measures to protect your data against loss and against eyes that have no business seeing it. Among other things:
- All traffic with the site runs encrypted over https
- Passwords are stored with irreversible encryption, never in readable form
- After five failed login attempts the account is locked for fifteen minutes
- Only the people who need it for their work have access to the data
If something does go wrong despite everything and you are put at risk by it, we report it to the Autoriteit Persoonsgegevens and, if it is serious, to you as well. Spotted a weak point in our site yourself? Let us know at info@greengolfcarts.nl. We will be grateful.
No automated decision-making
We do not take decisions about you that are made solely by a computer; behind every decision that affects you there is a person. Nor do we build profiles of you: we use the statistics only to count how the site is used, and the advertising and audience features of Google Analytics are switched off.
Children
Our website is not aimed at children under sixteen and we do not knowingly collect data from them. If you think your child has left data with us without your permission, email info@greengolfcarts.nl; we will erase it.
Changes to this privacy policy
If something changes in the way we handle data, or the law requires something new of us, we will update this statement. The top of the page shows when that last happened. If it is a far-reaching change and we have your email address, we will let you know before it takes effect.
Contact
